The evening after a meeting, before and after
Clerks report spending four to eight hours writing up a single meeting (Smart Cities Dive, May 2026). Most of that time goes on listening back and typing, not on judgment.
Today
- Listen back to two hours of audio, pausing to type.
- Rewind to catch who seconded and how each member voted.
- Look up the spelling of every resident who spoke.
- Reformat everything into last month’s Word file.
- Update the resolution book by hand.
4 to 8 hours per meeting
With QuorumBook
- Upload the recording from your phone or computer.
- Receive an email when the draft is ready.
- Check the few items marked “verify”, each linked to its moment in the audio.
- Download it as Word or PDF for the board packet.
- The resolution register updates itself.
About 20 to 30 minutes of review
Built for public records, not for note-taking
General transcription apps produce a wall of text. Minutes are a legal record, so QuorumBook is organized around what the law, your solicitor and your auditor expect.
Action minutes in your state’s format
Concise, past-tense minutes that record what was decided. Pennsylvania drafts follow the Sunshine Act’s required elements, including the names of citizens who spoke and their subjects.
Nothing is guessed
If a name or a vote is unclear on the recording, the draft says “[verify]” and links to the timestamp. An official record should never contain a confident mistake.
Resolution and ordinance register
Adopted resolutions and ordinances are logged with number, date, board and vote, so you can find the 2019 snow-plow contract in seconds.
Executive sessions handled correctly
The draft records when the board entered and left executive session, the stated reason, and that no action was taken in private.
Approval and correction history
Mark minutes approved on the date the board voted. Any later correction is kept in a dated history, never silently overwritten.
Records retention
Recordings are public records too. Keep them as long as your retention schedule requires, then delete them once the minutes are approved.

Questions secretaries ask
Is it legal to use AI to draft our minutes?
Yes. State open-meetings laws set out what minutes must contain (attendance, actions taken, votes), not how the draft is produced. QuorumBook prepares a draft; your secretary reviews it and the board approves it at its next meeting, exactly as today. Many boards add a line such as “Prepared with AI assistance; reviewed and approved by the Board.”
How accurate are the drafts?
On a clear recording, names, motions and votes are captured accurately, and anything uncertain is never guessed: it is marked “[verify]” and linked to the exact moment in the recording so you can check it in seconds. Entering your board members’ names once improves attribution further.
What do we need to record the meeting?
Whatever you use now. A phone or a small recorder in the middle of the table works well, and so does the audio or video file from a livestream. Files up to four hours are supported.
Who can see our recordings and minutes?
Only the people you invite to your account. Recordings and records are stored encrypted in the United States, are never used to train AI models, and can be exported or deleted at any time, for example when your retention period ends.
Can we pay by check or purchase order?
Yes. Choose annual billing and we send an invoice with our W-9, payable by check, ACH or card. Most townships approve it on the monthly bills list.
Which boards does it cover?
Any public body that keeps minutes: boards of supervisors, borough councils, township trustees, planning commissions, zoning hearing boards, municipal authorities, and library, cemetery, water and fire districts. One subscription covers every board of your municipality.
Does it replace our secretary?
No. It removes the hours of listening back and typing. Your secretary stays the author of record: they review, correct and sign the minutes.
