Security and public records

Meeting recordings and minutes are public records that belong to your municipality. This page explains where they are kept, who processes them and how you stay in control.

Where your records are kept

StorageEncrypted at rest in data centers in the United States (Cloudflare R2 and D1).
TranscriptionAssemblyAI, United States.
DraftingAnthropic’s Claude, with processing restricted to the United States.
PaymentsStripe. We never see or store full card numbers.
EmailResend, for sign-in links and “draft ready” notices only.
TrainingYour recordings, transcripts and minutes are never used to train AI models.

Access

Only people you invite can see your municipality’s records. Sign-in uses one-time links sent to the user’s email, so there are no passwords to reuse or steal. Every request is checked against the municipality the user belongs to.

Retention and deletion

QuorumBook never deletes your records on its own. You decide how long recordings are kept under your retention schedule and can delete a recording with one click once the minutes are approved. Deleted files are removed from active storage immediately and from backups within 30 days.

Right-to-Know and FOIA requests

Recordings, and in some states transcripts, may be subject to public-records requests. You can download every recording, transcript and set of minutes at any time to respond to a request.

Approval stays with the board

QuorumBook prepares drafts. Minutes become official only after your board reviews and approves them, and every edit after approval is kept in a dated correction history.

Questions from your solicitor or IT contact are welcome at hello@quorumbook.com.

See it with your own meeting.

Send us a recording of a recent meeting and we'll send back draft minutes in your board's format. Free, no credit card, no sales call.
