How QuorumBook turns a recording into minutes

Three steps for the secretary, about twenty to thirty minutes of review per meeting. Here is exactly what happens at each one.

  1. Upload the recording

Drop the audio or video file from your phone, recorder or livestream (MP3, M4A, WAV, MP4, up to four hours). Uploading starts immediately, in pieces, so a slow connection does not lose your file. Add the agenda if you have it.

  2. We draft the minutes

The recording is transcribed with each voice separated, the voices are matched to your board members, and the minutes are written in your state’s format: attendance, actions, motions, seconds, each member’s vote, public comment and executive sessions.

  3. You review and approve

Anything uncertain is marked “verify” and linked to its moment in the audio. Edit what you need, download Word or PDF for the board packet, and record the approval date after the board votes.

What the draft contains

HeadingMunicipality, board, type of meeting, date, place, time called to order and adjourned
AttendanceMembers present and absent, staff and others present
MotionsText of the motion, mover, seconder, each member’s vote, result and tally
Public commentEach speaker’s name and residence as stated, subject, and a neutral summary
ReportsOne or two factual sentences per report (solicitor, engineer, roadmaster, zoning officer…)
Executive sessionTimes, stated reason, and whether any action followed in public
Register entriesAdopted resolutions and ordinances with number, title, date and vote
Review listEvery uncertain name, number or vote, with a link to the timestamp

Why recordings work better than notes

Handwritten notes miss who seconded and how a split vote went. A recording keeps everything, and QuorumBook uses the roll call, the chair recognizing members by name and members’ own introductions to attribute each statement. Entering your members once in Settings makes this more reliable for every future meeting.

What we never do

  • We never invent a name, figure or vote. Uncertain items are flagged, not filled in.
  • We never send a bot into your meeting. You decide what to upload.
  • We never use your recordings to train AI models.
  • We never publish anything. The minutes become official only when your board approves them.

See it with your own meeting.
